Two revisions. One uncertain decision.
The shared folder has a newer file, but the workstation uses an older one. Learn how release status, the register and the point-of-use check establish which revision belongs in the work.
Practical QMS document control · self-paced
When someone asks “Which copy should I use?”, give them a source, a revision and a reason. Learn to move a document from draft to approved use, withdraw old copies and connect the work to its records.
No card for the preview. Learn in short sessions. Apply it with your existing tools.
The problem at work
The file is approved. The shared link is updated. Yet someone prints an old download, uses a supplier revision that no longer applies, or cannot find the record when it matters.
The shared folder has a newer file, but the workstation uses an older one. Learn how release status, the register and the point-of-use check establish which revision belongs in the work.
A message says the procedure is approved, but the approver, revision and release decision are hard to trace. Practice recording a review path that another person can follow.
Updating the master file does not remove a printed instruction or an old download. Work through distribution, withdrawal and checks at the locations where documents are used.
When someone asks who approved a change or why a record is retained, you need more than a folder name. Practice connecting requirements, decisions and retrievable evidence.
Build the habit of checking the whole chain: source → revision → approval → release → point of use → retained evidence.
The responsibility you can grow into
Bring your manager a clear draft of what changed, who decided, where the current copy lives and what still needs attention. That gives the team something concrete to review.
Work through authority, effective dates and readiness before ordinary use.
Practice finding evidence that supports the decision and stating where it stops.
Make instructions usable for the actual reader, language and point of use.
What you practice
Sierra Works is a fictional company created for this course. OPS-WI-014 revision 03 is released, while revision 04 is still a draft. You use this case to practice revision decisions, review and release, distribution, records and evidence retrieval. The examples are training material, not customer records or evidence of a real company's compliance.
Read the case record. Identify the authorized revision, missing evidence and the owner of the next action.
Use the worksheet or write the control. Keep the source, status and uncertainty visible.
Use explanations, Coach Q checkpoints and the self-review rubric. Ask the authorized owner to review workplace drafts.
Your working tools
Course Hub gives you a place to plan, focus, log practice and keep drafts. Coach Q helps you reason through the next decision.
Save a document revision, download it, or keep a useful structure as a template. Use the course workbooks with your own document tools.
Your company’s controlled approvals and release permissions remain with its responsible people and systems.
Illustrative Coach Q exchange
In this case, revision 03 is the released revision. revision 04's higher revision number does not authorize its use. Check the register and the copy at the workstation, then confirm the authorized release process before replacing revision 03. If the information conflicts or a safety concern is raised, refer the issue to the responsible owner.
An example, not a live response. AI output is draft material to verify. Coach Q comes with the course; no subscription or renewal fee.
The work you are guided to produce
Prepare these with the fictional case or a workplace example you are permitted to use. The final capstone brings them together in a self-reviewed draft pack.
Identify the master, revision, status, source and owner. Test which copy a user can actually reach.
Link comments, decisions, the exact revision, effective date and user readiness.
Find printed copies, downloads and links. Plan how to replace them and check for prior use.
Separate evidence from instructions. Record the verified basis, starting event, holds and disposition authority.
Track applicable supplier or customer information and the people and documents a change affects.
Connect the control decisions to their records. State missing evidence and the next authorized action.
